Focused, governed AI applications designed around specific departmental tasks, approved information, and existing workflows.

The Challenge
As interest in generative AI grew, an education organization saw opportunities for AI across multiple departments. But giving employees unrestricted access to a general-purpose AI tool wasn’t the answer. Different departments worked with different information, responsibilities, processes, and requirements. Employees needed AI that could help them complete specific tasks without requiring them to become experts in prompting or determine which information and instructions the AI should use. The organization needed a more controlled approach to adopting AI internally.
Our Approach
26 Pins developed purpose-built AI tools around specific jobs and departmental workflows. Instead of asking employees to adapt their work to AI, we embedded AI into applications designed around the task they were already trying to complete. Each tool can be configured around:
Employees interact with a focused interface rather than an open-ended AI environment.

The difference is important. A general AI tool asks, “What would you like me to do?” A purpose-built internal AI tool already understands, “This is the job we’re here to do.”
For example, AI can assist teams with activities such as:
The interface, AI instructions, available information, and expected output can all be designed specifically for that use case.
Solution Detail
Internal AI adoption also requires governance.
Purpose-built tools allow the organization to determine what the AI has access to, what employees can ask it to do, and how its output fits into an established business process.
This provides a more structured alternative to employees independently creating their own AI workflows using organizational information.
Human review can remain part of the process wherever judgment or approval is required.
The Outcome
AI becomes a practical operational capability rather than simply another software subscription.
Employees don’t need to become AI specialists. They receive tools designed around the work they’re responsible for completing.
The organization can introduce AI incrementally—starting with clearly defined use cases, evaluating the results, and expanding where AI provides measurable value.
The Bigger Impact
The future of workplace AI isn’t one chatbot doing everything.
It’s AI appearing at the right point in a workflow, with the right information, helping the right person complete a specific task.
26 Pins designs these systems around the organization—not around the technology.
